Supervisor, Sport Administrator

Canadian Amateur Sport Society (CASS) – Softball City

Full-Time | Surrey, British Columbia

Position Summary

Responsible for the planning, coordination, execution, and evaluation of tournaments and major events hosted at Softball City, including national and international championships delivered by the Canadian Amateur Sport Society (CASS) – most notably the Canada Cup International Softball Championship.

This role ensures operational excellence across all functional areas including field of play, logistics, staffing, volunteers, vendor coordination, sponsor fulfillment, and stakeholder relations. The Supervisor works collaboratively with staff, sport partners, sanctioning bodies, and community stakeholders to deliver high-quality events that enhance Softball City’s reputation as a premier softball destination in Canada.

Roles and Responsibilities

1. Tournament & Event Administration

- Lead end-to-end planning and execution of local, provincial, national, and international tournaments.
- Coordinate field scheduling, tournament formats, and team services
- Develop and manage detailed event timelines, operational plans and accreditation processes
- Manage the event logistics including scheduling, staffing, equipment, and facilities.

2. League Operations & Scheduling

- Administer seasonal league schedules, game allocations, and field bookings.
- Manage rescheduling due to weather, field conditions, or operational constraints.
- Coordinate with umpires, teams, and field supervisors to ensure smooth game-day operations.
- Maintain league calendars and communicate updates clearly to all stakeholders.

Field of Play & Facility Coordination

- Oversee readiness of diamonds, warm-up areas, bullpens, and ancillary spaces.
- Ensure rules compliance, proper setup, umpire coordination and consistent game-day procedures across all fields.

4. Staff & Volunteer Administration

- Recruit, train, schedule, and supervise event staff and volunteers.
- Managing daily workflows and deadlines

5. Vendor, Concessions & Sponsor Support

- Coordinate food vendors, merchandise operators, and on-site service providers.
- Support sponsor activations, signage placement, and brand integration during tournaments and league play.

6. Staff & Volunteer Leadership

- Recruit, train, schedule, and supervise event staff and volunteers.
- Develop explicit roles, expectations, and performance standards.

7. Administration, Records & Information Management

- Maintain accurate, accessible, and secure records for leagues and tournaments.
- Develop, organize and improve administrative systems, filing processes, and workflow efficiencies

8. Communication & Marketing Support

- Coordinate with communications teams on schedules, announcements, and digital updates.
- Assist with media operations, credentialing, and event logistics.

9. Risk Management, Safety & Compliance

- Implement and monitor event safety plans,



medical coverage, and emergency action procedures.
- Ensure compliance with municipal regulations, insurance requirements, and facility policies.
- Monitor weather conditions and activate contingency plans as required.

10. Leadership, Planning & Performance

- Manage daily workflows, task assignments, and competing priorities.
- Perform effectively in high-pressure, fast-paced event environments while maintaining attention to detail.

Qualifications & Experience

- Sport event management or tournament operations.
- Experience working with amateur sport organizations and governing bodies.
- Demonstrated leadership and team supervision experience.
- Excellent communication, organizational, and problem-solving skills.
- Ability to work flexible schedule including evenings and weekends.
- Knowledge of softball operations is considered a strong asset.

Compensation $25 - $32.50
