The Donald School of Business is seeking a Term-certain, Part-time Administrative Assistant. Under the direction of the Operations Manager, the Administrative Assistant will be responsible for providing administrative and clerical support for the development of the Donald School of Business proposed Business degree. This position performs a wide variety of administrative support service, all of which contribute to the efficient and professional operation of the school office. Within a customer-service oriented environment, the incumbent is responsible for providing administrative support for the development of the proposed Business Degree.

It is expected that the incumbent is well organized and possesses excellent time management skills.

Job Duties

Responsibilities of the Term-certain, Part-time Administrative Assistant, Donald School of Business include but are not limited to:

Administrative Support

- Generates reports as requested by the Dean, Associate Dean, Faculty Content Expert and Operations Manager
- General administrative support for the Degree development project, including editing the PAPRS document, importing information, collecting data
- Maintains an electronic database and Sharepoint site of curriculum and Degree development documents
- Acts as an initial point of contact for the Business Degree Program Development Project and responds appropriately in person, through phone calls and e-mail inquiries
- Calendar Management for the Faculty Content Expert
- Coordinate travel arrangements as required
- Prepares meeting agenda packages and records, transcribes and distributes meeting minutes
- Ensures follow-up on action items from meetings
- Provide administrative support for some off campus meetings or appointments, travel will be required at times
- Prepares documents, reports, and researches information for the Dean, Associate Dean, Operations Manager, and the Faculty Content Expert
- Find program information and stats for use as directed
- Word processing as required for program specific functions
- Develops and maintains comprehensive databases for the programs regarding research information about students, programs, college and industry information


- Communicate with internal groups including, faculty, and other administrative/support staff on behalf of the Dean, Associate Dean, Operations Manager, and/or Faculty Content Expert, as requested
- Assist in the development and dissemination of information to external stakeholders including businesses, government agencies, organizations, potential students and alumni, as directed by the Dean, Associate Dean, Operations Manager, and/or Faculty Content Expert
- Work with Dean, Associate Dean, Operations Manager, and/or Faculty Content Expert to develop packages for presentations to the President, Leadership Groups, and other committees in RDC
- Provide the faculty and staff with information concerning RDC processes and timelines, service area support, administrative practices, office equipment and basic software questions
- Communicates with stakeholders and prospective students on behalf of the program. Tracks results of correspondence and generates data, where appropriate (i.e.: RSVP, updates spreadsheets, etc.)

Required Qualifications
- Two (2) years of post-secondary training in Office Administration, Office Technology, or related programs
- Over three (3) years of relevant experience
- Experience in an executive level office
- Evidence of strong oral and written communication skills
- Evidence of a strong understanding of a four (4) year degree program
- Evidence of high quality customer service skills
- Evidence of the ability to work both collaboratively with a team and independently
- Evidence of knowledge in all areas of current office practice and procedures
- Extensive experience managing one or more calendars using MS Outlook
- Ability to understand the administration of post-secondary educational institution
- Experience preparing meeting agendas, minutes, letters, and memos accurately
- Evidence of attention to detail and proofreading skills
- Evidence of intermediate to expert level competence with Microsoft Office
- Ability to adapt to rapidly changing priorities
- Evidence of demonstrated initiative and motivation

Preferred Qualifications
- Four (4) year undergraduate degree in Business Administration, Communications, or related programs
- Experience with a student information system such as Banner an asset
- Experience working in a post-secondary setting

Salary or Hourly? Salary Salary $23.40 per hour Benefits and Compensation Information

An additional 8% of the hourly rate in lieu of vacation. Eligibility to access benefits is dependent upon the CUPE Collective Agreement.
