Reception/Administrative Support - Toronto, ON
As the voice and face of CBI Health Group, you are responsible for providing a quality customer service experience for both guests and employees. Assisting with both internal and external customers with the utmost professionalism is key in this role.
Based in Etobicoke, ON, and reporting to the Office Manager, this successful candidate will be responsible for all reception duties in our corporate office, from greeting guests, answering incoming calls, inbound and outbound correspondence to general administration and overall office coordination. In this role, you will exemplify the quality of services provided by CBI Health Group,
first by understanding the needs of our employees and clients, and then by determining how they can provide better support at a corporate level.

As the first point of contact at the Corporate Office, your goal every day will be to assist both guests and employees with their needs. By processing and interpreting information and using your organization skills, you will be able to excel in keeping track of details and staying focused in the face of a multitude of distractions.
Take an inside look at what you will do each day
As Reception/Administrative Support, you will promote work efficiency while maintaining order behind the scenes as you:
Answer a busy multi-line phone system
Manage requests and complaints via phone/email, and direct accordingly
Act as a liaison with internal and external clients to interpret specific needs and triage accordingly
Build department relationships and assist with tasks when needed
Assist with last-minute requests and/or conflicting meeting schedules as they arise
Troubleshoot issues as they arise to ensure a solution is found in a timely manner
Handle other general administration duties, e.g. ordering office supplies, binding/printing requests
Provides office coordination such as boardroom bookings, ordering/setting up catering, updating logs and tracking of petty cash
Ensure overflow is handled in a timely manner and day-to-day tasks are error-free
Handle incoming/outgoing mail and courier packages
Here is what you’ll need to be successful
Possess 2 to 3 years’ of related experience
Have excellent interpersonal and communication skills
Able to multi-task effectively with high attention to detail
Able to solve problems quickly and efficiently
Demonstrates a high level of personal accountability
Be customer service driven
Be able to prioritize a variety of time-sensitive tasks
Strong understanding of in MS Word, Excel, Outlook and PowerPoint
Ensure Corporate Office staff are confident with your ability to support
Be able to provide vendors, clients and staff with a positive experience
Know how to maintain order and create structure behind the scenes
Be a Team player with a positive attitude
While not essential, a college diploma with a focus in business or office administration would be an asset
